Administrative Assistant - Greater China Marketing Communications

As an Administrative Assistant within Marcom, you are the right hand and partner to your executive. You hold a central and leadership role within your team. You are the connector and holder of information. You have the ability to see around corners, as you anticipate needs and problem solve effectively. You are a creative and strategic thinker that can make the right business decisions that support your Executive’s priorities, you have a deep understanding of the business and your team. You will work closely with the Marcom Operations Manager to ensure the daily administration of the Marcom team is well managed.
The Administrative Assistant will provide executive administrative support to multiple team leaders at the executive or leadership level, managing matrixed calendars with global scheduling with heavy scheduling and constant re-scheduling. You are quick to develop a deep understanding of our team's operational norms, culture, policies and procedures. You plan and execute complex meetings for our groups. You create and manage confidential and sensitive information daily.
In this role, you will use your critical thinking skills to anticipate the needs of your team and understand the “big picture”. In this role you will build trust, credibility and influence across multiple internal partners in a highly matrix’d organization.
- Maintain Greater China Marcom leaders’ appointment calendar by planning and scheduling meetings, conferences, teleconferences, and travel. Manage their general administrative requirements, expenses report, travel needs, visa renewal etc.
- Coordinate and manage Marcom team’s meetings and scheduling requests.
- Ensure operation of office equipment, order maintenance when necessary.
- Coordinate with Facility / site service team to ensure Marcom studio is clean and tidy, printing supplies, communal stationary are supplied timely and mails and correspondences are dispatched and redirected timely.
- Coordinate with hiring Managers on new employee on-boarding process including ordering new employee equipment, preparing office stationary, preparing for overseas travel (coordinate visa, accommodation, etc).
- Coordinate WW visitors’ itineraries within Greater China and ensure all plans are well executed.
- Fluent in Chinese and English; good communication skills
- Experience in supporting high-level executives in an administrative partnership capacity
- Experience managing highly complex calendars, with the ability to foresee and resolve scheduling conflicts proactively.
- Exceptional organizational skills with the ability to juggle multiple competing prioriti
- 5+ years experience supporting high-level executives with administrative support including strategic calendar prioritization, event planning, travel logistics, expense reporting and project managementCreative thinker and be resourceful - actively proposes solutions to resolve issues and offer various options when challenges arise.
- Proven ability to take initiative, foster trust and build strong, productive relationships, with cross-functional teams and partners
- Ability to anticipate change and react efficiently and expeditiously.
- Ability to multi-task, manage several tasks at the same time with minimal supervision.
- Exceptional at handling confidentiality on all business matters, while remaining calm and confident under pressure
- Experience working effectively in a highly-matrixed organization across timezones
- Interest and creativity in building team culture and fostering a positive and productive work environment
- Strong written and verbal communication skills with extraordinary attention to detail
- Proficiency with Apple Calendar, Apple Mail, Apple Keynote, Quip, Slack, and other office systems and tools are a plus
