Description

Responsible for managing the lobby receptionist and badge services programs in Santa Clara Valley. This includes providing oversight and direction to the Supervisors and Project Coordinators who guide these teams. We support a team of over 100 employees. Provide guidance with the day to day operation of the reception and badge services teams as required. Ensure the highest levels of customer services and business protocols are being met. Develops and implements standard practices and processes to ensure that company policies are being met. This involves updating the receptionist and badge services manuals, the receptionist reference database, and training the team as appropriate. Develops and implements a training program for reception and badge services. Continuously updates this program to ensure the latest and most critical information is available to the staff. Ensures all changes and updates are communicated to the team. Performs personnel management activities for staff including recruitment, training, performance evaluation and salary management; encourages professional development through job assignments and training. Responsible for directing problem research and resolution related to all lobby receptionist and badge services People needs. Continue to improve upon and fine-tune the standards and criteria for reception services as well as our Supervisory and Project Coordinator roles and responsibilities. Ensure all company procedures, standards and brand values are being adhered to and delivered. Participates in the development of business plans and manages operational budget. Initiates purchase orders and provides written justification for department activities. Arranges for purchase of office supplies and equipment. Manages budgetary issues to include temporary staffing for illnesses & vacations, and misc. operating expenses. Prepare reports for management recommending revisions to processes, staffing, budget, and/or operations. Maintains basic knowledge of facilities and security systems. Coordinate and provide direction to the IT leads on our workforce management applications and technology systems. This involves ensuring they meet our technical needs and looking for potential ways to improve them. Proactively engage with other organizations and both facilities and security teams to ensure we are meeting business expectations. Works closely with Facilities Building Managers and security to research and apply necessary updates to protocols and maintenance techniques as applicable to both reception and badge services. Including coordination across these teams on special projects. Works directly with company executives and support staff to ensure that all reception issues are quickly addressed.

Education & Experience

Associate or bachelor degree preferred
