We are seeking a highly motivated and versatile Senior Administrative Assistant to join our Sensing & Connectivity Administrative Team. The ideal candidate will thrive in a collaborative, fast-paced environment, demonstrate outstanding interpersonal skills, work autonomously & collaboratively, and show a proactive approach to solving problems. This individual will be responsible for managing day-to-day administrative tasks, supporting and organizing events, multiple calendars, and general business operations. Working alongside the admin team and senior leadership, they will provide crucial team support and play and integral part in the continued success and expansion of the Sensing & Connectivity Organization.

Description

Event Planning: Plan, coordinate and execute internal events such as off-sites, team building events and organizational wide meetings. Sr. Manager/Director Calendar Management: Coordinate meetings, conference calls, and book domestic and international travel as necessary. Building and Facilities Support: Conduct space audits, manage facility needs, ensure office supplies and equipment are available, and handle building access and related logistics in site location. Purchasing Support: Manage internal and external orders. Coordinate domestic and international shipments, order/stock office supplies and accessories for the team, initiate POs, manage team budgets, order new hire equipment and participate in annual asset audits. Logistics and Operations Support: Provide operational support to a growing team of engineers and assist other admins as needed, ensuring smooth day-to-day operations. Cross-Location Coordination: Work closely with administrative teams at other locations to understand specific processes, procedures, and site needs. Assist in coordinating leadership visits across campuses. Office Support: Manage office spaces, maintain printers, coordinate IS&T support, and handle the ordering of office materials and supplies.

Minimum Qualifications

  • Minimum of 3+ years of Administrative Assistant experience supporting a Sr. Manager or Director (high tech industry a plus)
  • Experience with complex scheduling, travel, task management, facilities, teleconferencing, purchasing and day to day operations of their team
  • Ability to work in a hybrid environment including (at minimum) 3 days onsite, 2 days remote a week, with the possibility of variations based on the business needs
  • Ability to lift 20 pounds and stand for several hours at a time
  • AA, B.S. or equivalent work experience

  • Experience planning, managing, and executing large scale events
  • Must be able to travel to other site locations for day trips or several days at at time as needed.
  • Proficiency in Apple products including: Calendar, Numbers, Keynote, Mail, eApproval, Quip, Box, Confluence, Chorus, and Wrike.
  • Flexibility to be available outside of business hours on occasion
  • Knowledge of Apple Finance and purchasing procedures
